Overview of Annotations
Annotations in the Markup Tool allow you to make detailed comments, markups, and changes directly on a document. This deep dive covers each annotation type, its customization options, and how you can use them to enhance document collaboration.
How to Access Annotations
Enter Markup Mode
Open a supported file (PDF, JPEG, PNG, or TIFF) and click on the Preview button (shaped like an eye).
In the preview window, click the Markup icon in the top right to enter markup mode.
Annotation Tools
Once you're in markup mode, you’ll have access to various annotation tools located on the toolbar. Here’s a breakdown of each tool:
Text Tool
Adding Text
Select the Text Tool from the toolbar, click where you want to add text, and begin typing.
Customizing Text
After adding text, you can adjust the following:Font Color: Choose from a palette of colors to make the text stand out.
Background Color: Add a background color to the text box to make it stand out.
Opacity: Adjust the opacity of the background to make it more or less transparent, depending on the document’s needs.
Font Options: Select from a range of fonts to give your text a unique style.
Font Size: Adjust the size to suit your needs.
Alignment & Position: Set the alignment and position for your text.
Editing Text
Click on the text box to move it, change its content, or update its formatting. To delete the text box, click on it and hit the delete button.
Shape Tools
The Shape Tools allow you to highlight areas and draw attention using lines, arrows, or geometric shapes. Each shape comes with customizable settings.
Lines
Adding a Line: Select the Line Tool, click on the document, and drag to draw.
Customization:
Color: Choose from different line colors.
Opacity: Adjust the opacity of the line to make it more or less transparent.
Line Weight: Adjust the thickness of the line to fit your needs.
Multi-Point Line: Use the Line Style tool to create multiple point styles within a line for limitless options.
Arrows
Adding Arrows: Select the Arrow Tool, click and drag to create an arrow.
Customization:
Color: Select the arrow’s color.
Opacity: Adjust the opacity of the arrow to make it more or less transparent.
Line Weight: Adjust the thickness of the line and arrow tip.
Arrowhead Style: Choose different styles for the arrowhead and line.
Multiple styles for within the line can be chosen here as well.
Shapes (rectangle, cloudy rectangle, ellipse, polygon, polyline)
Adding Shapes: Select the appropriate shape tool, click and drag on the document.
Customization:
Line Color: Set the color of the shape’s outline.
Fill Color: Fill the inside of the shape with a color of your choice.
Opacity: Adjust the opacity of the shape to make it more or less transparent.
Line Weight: Adjust the thickness of the shape’s outline.
Line Style: Choose solid or dashed outlines for your shape.
Revision Cloud (cloudy rectangle)
Adding a Revision Cloud: Select the cloudy rectangle, click and drag to create a cloud that highlights areas of the document.
Customization: Same as other shapes—adjust color, line weight, and style to suit your needs.
Managing Annotations
Annotation History
Click on the Annotations Side Panel to view a list of all the annotations on the document. You’ll see who created each annotation and the exact time it was added. This feature is essential for tracking changes and ensuring accountability.
Selecting and Editing Annotations
Click on any annotation to select it. Once selected, you can:
Move the annotation to another part of the document.
Adjust the color, size, and other formatting options.
Delete the annotation by clicking on it and selecting the delete option (trash can icon).
Saving and Exporting
Automatic Saving
All annotations are automatically saved as they are created, so there’s no need to manually save your work.
Exporting the Document
After finalizing the annotations, you can export the document with all markups included. Simply click on the export button to save or share the file.
