These answers cover the most common questions about using the Markup Tool for document annotation and collaboration.


1. What files are supported by the Markup Tool?

The Markup Tool currently supports the following file types:

  • PDFs

  • Image files: JPEG, PNG, and TIFF


2. How do I access Markup mode?

To access the Markup mode:

  1. Open a supported file in the Preview Window.

  2. Click the Markup icon in the top-right corner to enter Markup mode.
    Note: This icon is only available for compatible files.


3. What if the Markup button isn’t visible?

If the Markup button is not available, it could be due to one of two reasons:

  • The file type is not supported (i.e., the file is not a PDF, JPEG, PNG, or TIFF).

  • You do not have permission to enter Markup mode for the selected file.

If you believe you should have access, contact the project owner to resolve any permission issues.


4. How are annotations saved?

You don’t need to manually save your work.

  • Annotations are automatically saved as soon as they are created or modified.

  • Your changes will be visible to others with access to the document.

  • Annotations made with the Markup Tool create an additional layer on the original document. Both the annotated and original versions are saved, allowing for easy reversion, undoing, or redoing of any changes.


5. How do I view who created an annotation?

To see who made an annotation:

  1. Open the Annotations Side Panel in Markup mode.

  2. You’ll see a history of each annotation, including:

    • The name of the person who made the annotation.

    • The date and time the annotation was created.


6. How do I edit an annotation?

To edit an existing annotation:

  1. Click on the annotation you wish to modify.

  2. Additional tools will appear, allowing you to:

    • Change the color.

    • Adjust the size.

    • Modify other settings, depending on the type of annotation (e.g., font, line weight, shape fill).


7. How can I navigate through multi-page PDFs?

In Markup mode, for multi-page PDFs, you can:

  • Scroll through the pages.

  • Use the Page Navigation tool to quickly jump to different pages.

  • Annotate across multiple pages as needed.


8. Can I zoom in and pan while annotating?

Yes, the Markup Tool offers several navigation and selection tools, including:

  • Zoom capabilities to enlarge or reduce the document view.

  • Auto-size for window to fit the document in your current screen.

  • Page panning tool to easily move around the page.

  • Multi-select tool to select and adjust multiple annotations at once.


9. What customization options are available for annotations?

  • Text Annotations:

    • Adjust font size and color.

    • Select from multiple font types.

    • Set alignment (left, center, or right).

    • Add background color and adjust opacity for text boxes to help them stand out.

  • Shapes and Arrows:

    • Change line color, weight, and style (solid or dashed).

    • Choose arrowhead styles for arrows.

    • Adjust fill color for shapes such as squares, circles, and polygons.

    • Revision clouds allow you to highlight areas that require special attention.


10. Can I delete annotations?

Yes. To delete an annotation:

  1. Select the annotation by clicking on it.

  2. Choose the delete option from the toolbar that appears.

This will remove the annotation from the document.


11. How can I export a file with annotations?

Once you’ve finished marking up a document:

  1. Click the Export button to save the document.

  2. The file will be exported with all annotations intact.

    • This export can be shared with team members or external partners as needed.


12. How can I tell if a document has been marked up?

When a document includes markups, an icon will appear to the left of the version number in the uploaded file. This icon indicates that annotations or changes have been added to the document for easy review.
